How to make a reservation
Complete the online accommodation form and submit to JLC ICS as soon as possible.
Accommodation bookings can only be made using the online accommodation form and NOT by email. Please DO NOT print and send the online accommodation form with credit card details.

All reservations will be acknowledged by email within 48 hours of receipt. If you do not receive an acknowledgement, please contact Judy Lane ICS to check that your reservation has been received. Bookings cannot be made without a valid credit card number (Visa/Mastercard/Amex) to guarantee your reservation (we cannot accept debit cards). Please ensure that the credit card number you provide at the time of booking does not expire prior to the conference.
If your reservation is with The Four Seasons Hotel or The Grace Hotel, a non-refundable deposit of one night’s room rate will be charged to your credit card by the hotel one month prior to your arrival. In the event that the hotel is unable to charge your card number you will be contacted by Judy Lane ICS and asked to provide alternative card details within 48 hours or your hotel room may be released.
Hotels are wheelchair accessible and can offer specially adapted guest rooms for persons with a physical disability. Please indicate any special requirements when making your booking.
Cancellation terms and conditions
Should you need to cancel or amend your reservation, please contact Judy Lane ICS in writing (firstname.lastname@example.org). We cannot accept this information by telephone. You will receive an email confirming receipt of your cancellation/amendment. If you do not receive this email, your cancellation/amendment has not been processed/received. In this case, please contact us by telephone on +44 (0)1293 888 352. We will make every effort to re-sell the room nights cancelled to another delegate but if we cannot, the following penalties will apply (please note that we are unable to re-sell the rooms back to the hotel):
Full/partial cancellation of room nights
After 1 September 2017, the full room rate, as quoted on the online booking form, for all of the room nights cancelled will be charged to the credit card number you have provided at the time of booking, unless the cancelled room nights can be re-sold to another delegate. These cancellation terms and conditions also apply to bookings made on or after 1 September 2017.
No-shows (non-arrival on the day of your reservation without prior notification) will be charged for the full stay.
