What data do we collect?

The IBA Hague Office collects the following data:

  • Personal identification information like name, email address (business or private), current position and organisation.

How do we collect your data?

You directly provide the IBA Hague Office with most of the data we collect. Your data is collected through:

  • Email contact with IBA Hague Office staff members
  • Registering for any of our events
  • Participating in any of our events

The IBA Hague Office may also receive your data indirectly from the following sources:

  • Affiliated Hague-based organisations and institutions like the Coalition for the ICC.

How will we use your data?

Our organisation collects your data so that we may email you about events in the area. We will usually not share your information with third party companies or other organisations, unless your information is needed to require access at our event locations such as security or for catering purposes in case of food allergies.

When emailing us, your data will be stored on the Microsoft 365 platform as well as the exchange server of the International Bar Association, located in London, United Kingdom.

How will we store your data?

The IBA Hague Office securely stores your data on the Microsoft OneDrive platform (More information about their GDPR compliance can be found here - https://www.microsoft.com/en-gb/trust-center/privacy/gdpr-overview) and access is protected using multifactor authentication. We will keep your personal identification information for two years. Once this time period has expired, we will manually delete your data in our system.

What are your data protection rights?

The IBA Hague Office likes to make sure you are fully aware of your data protection rights. You are entitled to the following:

  • The right to be informed: you have the right to be informed about the collection and use of your personal data.
  • The right of access: you are entitled to your own personal data.
  • The right to rectification: you have the right to request that the IBA Hague Office correct any information you believe to be inaccurate. You also have the right to request to complete information that you believe to be incomplete.
  • The right to erasure: you have the right to request that the IBA Hague Office erase any of your personal data.
  • The right to restrict processing: you have the right to request that the IBA Hague Office restrict the processing of your personal data.
  • The right to object to processing: you have the right to object to the IBA Hague Office processing any of your personal data.
