The visa application procedure is as follows:
- Visa applications can only be made from 6 months before planned entry, not before. The conference dates are 4-9 October 2026, so visa applications can be made from early April depending on your planned arrival date. Delegates can apply for short stay visas which are valid for 90 days. It is advisable to submit the visa application as early as possible, thus ensuring it is processed in a timely manner.
- Create a profile on the platform ApplyVisa, fill in an application and pay the visa fee (90 EUR) online at https://applyvisa.um.dk.
- A cover letter is generated – this must be printed and signed.
- Choose a local Visa Application Centre (VAC) in order to hand in relevant documents and have your biometrics (digital photo and fingerprints) recorded. A list of where to hand in the visa application can be found here: Where to apply for a visa or residence permit.
- IBA Visa support letter – when a delegate completes their conference delegate registration and pays any fees due the IBA provides all delegates with a letter confirming that their conference registration is completed. This letter must be included with you visa application.
- Collate mandatory documents to be submitted together with the application form and signed cover letter to the VAC. You must also include your IBA visa support letter with your documents.
- Visa processing time is 15 days but can take up to 45 days if follow up questions or documentation required.
You can obtain a list of documentation to be submitted from your local VAC – please consult the following homepage: Welcome to VFS Global | For Individuals | Home. Your IBA visa support letter must also be submitted together with relevant documentation. In order to prevent delays, please ensure to present complete documentation when submitting your application, as otherwise the application may not be processed in time.
The VAC forwards the application to the relevant Danish Mission, who makes a decision in the case.
